The goal

Seamless migration: moving the global user base to the cloud
Deichmann has long utilised Atlassian solutions like Jira, Confluence, and Bitbucket to manage projects and enhance collaboration within the company. Our goal was to migrate the globally used server instances to Atlassian Cloud with minimal disruption, ensuring the continuity of workflows.

The challenge

Managing complexities: data management and secure collaboration
As a large enterprise, Deichmann manages vast amounts of data and numerous projects. This complexity led to a complicated project structure and high licensing costs due to the repeated purchase of apps across different instances. Additionally, Deichmann uses Confluence to share brand manuals with suppliers, necessitating a secure solution.

The solution

Data clean-up, process overhaul, and security management
In close collaboration with Deichmann, we identified problem areas and developed optimised structures and processes for the new cloud environment. Initially, we created a project overview and conducted workshops with all project leads to establish goals and requirements.
To minimise the migration effort, we cleaned up the server instances and defined new work management processes. We also implemented new roles and permission concepts to prevent the accumulation of redundant data in the cloud instances, enhancing team productivity and simplifying system maintenance.
For the secure provision of brand manuals, we redefined the space structures in Confluence and utilised guest access (Confluence Guest Access). A single Confluence space now enables the secure sharing of brand manuals with a designated group of people, facilitating the onboarding and offboarding of suppliers and enhancing the security of shared information.
To optimally prepare users for working in the new cloud environment, we conducted various targeted training sessions. Administrators received training on technical aspects and administrative tasks, while end users were trained on the practical use of new tools and features.
During and after the migration process, we supported Deichmann with our support service: first and second level support for emerging questions and issues, and third level support for developing new process solutions and optimising global business processes.

The result

Settled in the cloud: increased productivity and user acceptance
Today, Deichmann benefits from the advantages of the Atlassian Cloud, experiencing effective and efficient use of its Atlassian tools. The migration has resulted in a well-structured and user-friendly work environment that significantly eases daily operations. Using Atlassian tools as a central collaboration platform has increased the number of users and improved collaboration within the company. Thanks to the smooth migration, other internally used tools are also fully integrated into the cloud, ready for efficient, future-oriented collaboration.
